Position: Patron Services and Community Engagement Coordinator
Reports to: Director of Strategic Operations and Engagement
Hours: Part-time, 20 hours per week
Pay rate: $19-21 per hour
Location: Flexible, remote work with some on-site responsibilities. DuPage County preferred.
Overview:
The Patron Services and Community Engagement Coordinator is responsible for managing the day-to-day office functions, providing exceptional customer support to our patrons and community partners. This role includes administrative and event support tasks, and other duties as assigned. On-site responsibilities include concert-day support and in-person community engagement as needed.
Key Responsibilities:
Patron and Office Coordination:
Manage and respond to DuPage Symphony Orchestra’s incoming messages, including the box office phone, written correspondence, and email communications.
Check the P.O. box in Naperville twice per week during post office hours.
Manage general office functions, including (but not limited to) communicating with patrons and board directors, maintaining files/documentation, ordering office supplies, responding to patron requests, providing personalized customer service to patrons, etc.
Update database with revenue and registrations for fundraising events, annual dinner, donor receptions and other events.
File and maintain organizational documentation, including compliance documents.
Prepare and make check deposits at the bank, process credit cards, and send documentation to bookkeeper.
Community Engagement:
Develop relationships with patrons, donors, and corporate partners, and attend concerts to further develop relationships.
Respond to patron and community comments on social media.
Manage ticket sales processes, including setting up ticketing platforms and maintaining sales data.
Handle distribution of complimentary tickets such as those donated/offered to local schools and other non-profits and community organizations. Track redemption data and other conversion metrics.
Help identify and research potential recipients of such complimentary ticket offers consistent with our educational and community outreach goals.
Update and maintain donor and subscriber databases.
Ensure individuals and corporate partners receive all benefits that correspond to their giving level, communicating with sponsors to request their image/logo by print and digital deadlines.
Follow up with subscribers to ensure full education on subscriber benefits via phone and e-mail.
In tandem with the Director of Strategic Operations and Engagement and internal board committees, reach out to local organizations to develop relationships and create win/win partnership opportunities for marketing, development, and patron engagement.
Monitor outreach performance throughout the year and adjust accordingly using analytics tools; update Director of Strategic Operations and Engagement and the Board of Directors monthly.
Other related duties as assigned.
Qualifications:
Associate’s degree required; Bachelor’s degree in Arts Administration, Marketing, Communications, Business Administration, or a related field preferred. Equivalent experience will also be considered.
2+ years of administrative or project management experience.
2+ years in customer service and/or community engagement roles.
Excellent written communication skills and phone etiquette with a customer-focused approach.
Strong organizational, communication, and interpersonal skills, with the ability to manage multiple tasks and projects simultaneously.
Ability to analyze data and use analytics tools to monitor performance.
Experience with database management and cloud-based office software (AudienceView, Google Workspace, Constant Contact, Dropbox, CRMs).
Ability to work independently and as part of a team.
Ability to build and maintain positive relationships with patrons, donors, and community partners.
Other Requirements:
Must have reliable transportation to check the P.O. box in Naperville and to attend events.
Flexibility to work evenings and weekends as needed for concerts and events.
