Salary Grade: Hourly 15-20 hours a week        FLSA: Non - Exempt

Bring your passion for organizing the Naperville Area Chamber of Commerce.   

  

This Executive Assistant position within the Chamber will support the CEO with administrative duties. Key areas will be organizing the calendar, arranging meetings, sorting through emails for the President and CEO. In addition to helping the CEO, this position will manage the conference room rental schedule, help with filing (both virtual and in-person), as well as assist the Board of Directors with their needs, and complete other administrative duties for the organization as needed and assigned. 

This position must be willing to sign a non-disclosure agreement and keep the information confidential. Trustworthiness and attention to detail are two important aspects of this position. This role is a hybrid role, with some work done virtually, but in-office work is also required. This is a part-time position, ideally working Monday – Thursday 9:00 am- 3:00 pm totaling 20-25 hours a week. The timing can be flexible.   


Detailed Duties  

  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO, including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the CEO’s style and organization policy.  

  • Manage email inbox and set up a reminder system to make sure everything gets done in a timely manner and deadlines are not missed  

  • Provide sophisticated calendar management for CEO. Prioritize inquiries and requests while troubleshooting conflicts; make judgments and recommendations to ensure smooth day-to-day engagements  

  • Organizing meetings and booking meeting rooms for internal and external use  

  • Point person for conference room rental schedule and management  

  • Maintaining the current filing and database system, and looking for ways to improve current systems, offer suggestions on how to streamline information and make the organization more efficient   

  • Help track and manage custom agreements 

  • Completes a broad variety of administrative tasks for the President & CEO, CFO, and Board of Directors. Including, but not limited to: filing, managing mail, creating and keeping spreadsheets up to date, mailing letters, setting up staff meetings, printing, scanning  

  • Provide human resource support to CFO for new employee paperwork processing and benefit enrollment   

  • Plan quarterly staff outings; track employees anniversaries and birthdays  

  • Managing our general email inbox and respond and forward emails as appropriate  

  • Manage Certificate Of Origin (COO) requests  

  • Other duties as assigned  


Qualifications/ Skills  

  • Experience as a virtual assistant  

  • In-depth understanding of the entire MS Office suite, especially Microsoft Outlook, Excel, Word, Teams, and OneDrive  

  • Ability to work effectively with minimal supervision  

  • Detail-oriented 

  • Positive disposition 

  • Strong interpersonal skills and self-starter  

  • Professional discretion and confidentially
