Client Intake Specialist - Behavioral Health Practice (REMOTE Available)

Duties and Responsibilities:

  • Create memorable and personalized experiences for Fox Valley Institute clients and team by providing support and promptly responding to inquiries over phone and email
  • Follow-up with referrals via phone or email and maintain referral log
  • Schedule and confirm client appointments
  • Maintain provider schedules
  • Verify confidential client demographics, insurance information, method of payment, and referral source information
  • Maintain the strictest patient confidentiality and adhere to all HIPAA guidelines
  • Possess a commitment to service, organizational values and professionalism through appropriate conduct, demeanor and attire at all times
  • Adhere to organizational and departmental specific safety standards and guidelines
  • Willingness to perform other duties, as needed

Qualifications and Requirements:

  • Minimum 2 years college
  • 3+ years experience working in a medical office
  • High degree of attention to detail and superior customer service skills
  • Knowledge of managed care, medical insurance and billing practices
  • Knowledge of MS Office and Google applications with strong data entry skills
  • Strong work ethic, self-starter, organized and a quick learner with a history of excellent attendance and punctuality
  • Ability to communicate information and ideas in verbal and written form so that others can clearly understand
  • Ability to take and give direction to see objectives to completion
  • Ability to establish and maintain effective working relationships with clients, leadership team, psychologists/therapists, and administrative team


  • Experience in a Behavioral/Mental Health Practice

Physical Demands:

  • Primary functions require sufficient physical ability and mobility to work in an office setting to stand or sit for prolonged periods of time
  • Occasionally stoop, bend, kneel, crouch, reach and twist
  • Lift, carry, push and/or pull light to moderate amounts of weight
  • Operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard

Salary = $37,000-$40,000

Full-time 8:30am-5:00pm M-F and 1 SAT per month
